Privacy policy
What data we collect, why, and what rights you have.
This English version is a translation provided for convenience. If there is any discrepancy, the Finnish version applies.
1. Data controller
Kuljetusnetti (kuljetusnetti.fi)
Email: tuki@kuljetusnetti.fi
For data protection matters, please contact the address above. We respond to requests within one month at the latest.
This policy covers the kuljetusnetti.fi quote service. The Mestari workspace (reitit.kuljetusnetti.fi) has its own separate policy (in Finnish), because there the subscribing company itself is the data controller.
2. What data do we collect?
Customers who send a quote request:
- Name, email address and phone number
- Origin and destination address, postcode, floor and whether there is a lift
- Details of the move: preferred date, size of the home, number of rooms, estimated amount of belongings
- Optional additional information: heavy items or items needing special handling (for example a piano or a safe), requested extra services and a free-text description
- If you wish, photos of the items to be moved. Photos are kept in protected storage and are never openly available online: they are visible only to you, the administrators and the partner companies that have a genuine reason to see them based on your quote request. Location and camera data (EXIF) are removed automatically when the photos are saved.
Transport companies acting as partners:
- Company name, business ID, address and service areas
- Contact person's name, email address and phone number
- Fleet and transport licence details and the company's own description
- Quotes given, billing details and referral fees
- Messages sent to the site administrators through the service
Messages and reviews:
- Messages between the customer and the partner in the service
- The rating and written feedback given after the job. We publish the review on the company's profile and on the Moving stories page with your first name only - never contact details or addresses.
Technical data:
- You log in with a one-time link sent to your email. This means we don't store customer passwords at all.
- The service uses cookies only to maintain your login session and form security (CSRF protection). We don't use advertising or tracking cookies or any third-party analytics services.
- Visitor statistics (from October 2026): we record page views and the steps of the quote request form in our own database, without cookies and without third-party services. We store the page address without query parameters, the device type (phone, tablet or computer), the source of the first visit (for example a search engine or campaign tag) and the names of form fields left with errors – never the contents of the fields. We don't store your IP address or browser identifier. Visits on the same day are linked by an identifier that is computed one-way and changes every day, so visits on different days cannot be linked and the identifier cannot be used to identify a person. For partner companies we also record which quote requests the company has opened.
- Old visitor statistics collected before October 2026, which included IP addresses and browser identifiers, were deleted on 18 October 2026.
3. Why and on what basis do we process data?
| Purpose | Legal basis |
|---|---|
| Passing quote requests to partners and handling quotes | Preparing and performing a contract (GDPR Art. 6(1)(b)) |
| Customer service and service notifications | Legitimate interest (Art. 6(1)(f)) |
| Asking for a review after the job and publishing it | Legitimate interest; leaving a review is voluntary |
| Invoicing partners and bookkeeping | Legal obligation (Art. 6(1)(c), Finnish Accounting Act) |
| Service security and preventing misuse | Legitimate interest (Art. 6(1)(f)) |
| Visitor statistics and developing the service | Legitimate interest (Art. 6(1)(f)); the data does not identify the visitor |
We don't make automated decisions or carry out profiling that would have legal effects on you. We don't sell your data to anyone.
4. Who do we share data with?
The most important rule
When you send a quote request, partner companies see the job details and addresses, but not your name, phone number or email address. Your contact details are shared with one company only when you yourself accept its quote.
- Partner companies: to make a quote and carry out the job.
- The company you accept can transfer the job details (name, contact details, addresses, date and price) to its own Mestari workspace to manage the job. There the company is the data controller, and it may also store photos from the job and your confirmation that the work is complete.
- Service providers: our hosting provider and email delivery service, which process data on our behalf.
- Authorities when required by law.
Data is not transferred outside the EU or EEA.
5. How long do we keep data?
- Quote requests and attached photos: up to 2 years
- Messages: together with the quote request, up to 2 years
- User account: as long as the account exists
- Published reviews: indefinitely, or until you ask for them to be removed
- Billing and accounting records: 6 years (Finnish Accounting Act, Chapter 2, Section 10)
- Visitor statistics: 13 months, after which they are deleted automatically
When the retention period ends, the data is deleted or anonymised.
6. Your rights
Under the General Data Protection Regulation you have the right to:
- Access your data - that is, know what data has been stored about you (Art. 15)
- Have inaccurate data corrected (Art. 16)
- Request erasure of your data (Art. 17)
- Restrict processing (Art. 18)
- Transfer your data to another system in a machine-readable format (Art. 20)
- Object to processing based on legitimate interest (Art. 21)
- Withdraw your consent at any time if processing is based on consent
Exercising your rights is free of charge. Send your request to tuki@kuljetusnetti.fi.
If you believe we are not processing your data lawfully, you have the right to lodge a complaint with the supervisory authority. In Finland this is the Office of the Data Protection Ombudsman (tietosuoja.fi).
7. Security
Your connection to the service is always encrypted (HTTPS). Photos attached to quote requests are stored outside the web root and cannot be accessed by guessing the address - every photo request is checked separately. Customer passwords don't exist, because you log in with a one-time email link. Access to data is limited to those who need it for their work.
8. Changes to this policy
We update this policy when the service changes. We notify registered users of significant changes by email. The current version is always available on this page.
